GENERAL

I plugged in the PM drive and nothing happened
The program does not start automatically, please follow these instructions:

  • Windows users: Open My Computer, locate the "TCF 2009" drive and launch the "PortaMeeting 2009.exe" application inside

  • Mac users: Double-click the "TCF 2009" disk icon on your desktop or Finder. Double-click the file "PortaMeeting 2009 Mac.zip" in order to unarchive the application. This will only be necessary the first time you use the program on your Mac. Afterward you may simply launch the "PortaMeeting 2009 Mac" application

Can I keep the PortaMeeting open while viewing other programs on my computer?
The PortaMeeting thumb drive works like any other application on your computer. You can minimize it or simply keep it open while working in other programs.

Can I use this device to store files?
This drive will function like any removable media device. The amount of space for storage will be affected by the amount of presentations stored on your drive. You may store personal files by simply dragging them onto your drive.

How do I remove the PortaMeeting drive?
PC USERS:
You may quit by first clicking the red “X” in the upper right hand corner of the window box.  In the System Tray, located on the lower right hand corner of your desktop, click the green arrow icon to safely remove the hardware from your drive.

MACINTOSH USERS:
You may quit by clicking the red “X” in the upper left corner of the program.  You may then drag the icon for the USB drive to the trash.

PRESENTATIONS

How can I transfer a presentation to my PortaMeeting drive?
You can transfer presentations onto the PortaMeeting drive from the “Presentations” section.

1. Click the “Presentations” button at the top of your screen. You will now see all your presentations and you can filter them by Session, Presenter’s Name, Date or All.

2. Scroll through the interface to find the presentation you wish to transfer.

3. Select the desired presentations by clicking the table item; it will turn gray when selected. Click “Download Selected” at the bottom right corner of your screen. You may also click the download button located to the right of each title to download individual presentations.

When will all presentations be available to my PortaMeeting drive?
All Symposium presentations will be available for transfer the Monday immediately following the meeting.

I tried to transfer a presentation and it didn't work. Why?
There are four reasons why you may not have been able to transfer the presentation:

1. If you are using your PortaMeeting drive to access presentations after the meeting, please ensure that you have an active internet connection prior to trying to access new presentations. It is not necessary to open a browser, enter a URL or visit a web site. An internet connection is not needed to view presentations already existing on the device.

2. If your PortaMeeting drive is too full, you will not be able to load a presentation.

3. If your computer is behind a firewall, your secure network may not allow connection to our presentation server. Please try again from another computer location, or consult your network administrator.

How can I delete a presentation on my PortaMeeting drive?
The “My Files” section allows you to manage all of your transferred presentations.  Beside the play button, click the red “X” button to delete the stored presentation from your drive.  You can always download the presentation again should you decide to do so in the future.

How do I view a presentation?
You may view a presentation via the following two methods:


1. Click “My Files” and click the “Session, Name, Day or All” in order to filter your presentations.  The window to the right will populate with a list of your downloaded presentations.  Each entry in this list will feature a play button.  Click the play button and view your presentation.


2. Click “Presentations”.  All downloaded files will feature a green play button beside each title.  Click the play button for the presentation you’d like to view.

Use the video scrub bar to fast forward or rewind.

How can I search for a specific Presentation or adjust my viewing parameters?

In the “Presentations” section, click on the category title “Session”, “Name”, “Day” or “All”.  In addition, you can also utilize the “Search” field by entering text that will search all dates, names, titles, keywords and sessions.

How can I sort the Symposium Schedule or File Manager?
You can sort for a specific presentation in PortaMeeting much like your email software.  In the “Presentations” section, click on the category title “Session”, “Name”, “Day” or “All”.  On the left hand side you will see a submenu of choices for each category title that will further help you sort the schedule.  You’ll notice that the presentations resort according to the selected submenu.

Why can't I hear the audio presentation?
If you cannot hear the audio portion of the presentation, check your computer’s sound control panel to make sure your computer is not muted, and that your volume and wave settings are turned up.  Additionally, check your speakers to make sure they are plugged in and the volume is up.

What are the System Requirements?
The PortaMeeting drive works with Windows and Macintosh desktop or laptop computers meeting the following minimum system requirements:

Macintosh:
OS:  10.4 or later
Processor:  500 MHz or better
RAM: 256 MB or more
USB port
Monitor capable of 1024x768 display
Internet connection

Windows:
OS: XP or later
Processor: 1 Ghz or better
RAM: 512 MB or more
USB port
Monitor capable of 1024x768 display
Internet connection
